一、五句话理论

写英文邮件是最简单最常用的一种写作形式,也相对随意,当然工作场合是需要有一定规范的,可以用很多标准的句型,这些句型我的学员可在供你们学习的专门页面找到。

什么才是一封好的EMAIL.除了准确恰当的语言外,还有位美国的投资人提出一个“五句话理论”。

一封好的邮件是“简明而有礼貌的”,少于5句话显得不够礼貌,多于5句话则稍显啰唆,所以5句话最恰如其分。

这么说来,一封好的电邮就如同一首五行诗。过长的邮件通常也会遭遇被人匆匆略过或是不予回复的情况,因为工作繁忙人士的邮箱里有大量待阅读的邮件,恐怕他没有那个耐心读一篇小说似的邮件。

写的长很容易,写的短实际上更难。你会更加聚精会神,提高效率,也会有更高的回复率。

只有一种情况可以例外,就是你的邮件目的就是为了赞扬对方,你有再多的溢美之词,也随便你写。写的多长都可以!

二、关于简短回复

如果你有很多邮件,正好你现在没有时间回复,你可以用以下一些句型来简短回复:

Thank you very much for your e-mail. I will get back to you as soon as possible.

Thank you for your message. I will deal with the matter as soon as possible.

Thank you for your message. I am away from my desk at the moment, but will get back to you as soon as possible.

三、不在办公室自动回复设置

  • Dear,

    Thank you for your e-mail. Please note that I will be out of the office from ….. until ….. . I will attend to your e-mail upon my return to the office.

    Kind regards,

    [Signature]

Contact information of a colleague:

  • Dear

    Thank you for your e-mail. Please note that I will be out of the office from ….. until ….. . For urgent matters, please contact (name)………….. at (phone number)…………….. .

    Kind regards,

    [Signature]

An automatic forward of their message to a specific person:

  • Dear,

    Thank you for your e-mail. Your message has been forwarded to [name] for action as I am out of the office until …..

    Kind regards,

    [Signature]
